EXAMPLE 1 OF 4 · FINANCE

Have you ever seen last month's numbers on the 12th, too late to steer by?

Days 1 to 10 go to the close. By then, the month you're reading is long gone.

Who it fits

  • Your close takes 5 working days or more.
  • Bank and card lines are matched by hand, after month end.
  • The management pack reaches you around the 10th.

When we'd say skip it

If your close already takes 2 days, leave it alone. If the chart of accounts is a mess, fix that first. A fast close on messy books gives you wrong numbers sooner.

The close breaks because 30 days land at once.

  1. Transactions
  2. Matched
  3. Reconciled
  4. Accruals
  5. Adjusted
  6. Pack built
  7. Commentary

Matching waits for the month to end. A break found on day 3 happened weeks earlier.

Receipts and approvals get chased all over again. The pack is put together by hand. The commentary gets the last hour.

In distribution, it's inventory and freight accruals. In construction, it's the work-in-progress schedule. In staffing, it's unbilled hours. In an accounting practice, it's every client's books in the same week.

We'd build a daily books check.

It matches each day's lines the next morning, so month end becomes a review.

What changes

  • Bank and card lines matched every morning, not on day 3.
  • Breaks surface within 24 hours, with the likely cause.
  • Missing receipts chased all month, in small batches.
  • Pack schedules built from your own reports, so your controller writes commentary.

What it's worth, in your numbers

Count the working days from month end to a finished pack. Multiply by the people on it. Multiply by their hourly cost.

Then ask a second question. What would you change with the numbers on the 3rd instead of the 12th?

How it works, line by line

Open the full run

What it reads

Your accounting system, bank and card feeds, expense tool and payables inbox. It runs each morning on the day before. Every source gets checked with you in the first conversation.

The 6 steps

  1. Pulls yesterday's bank, card and payment lines.
  2. Matches each line to an invoice, bill or receipt.
  3. Suggests coding for the rest from your past choices.
  4. Flags duplicates, gaps and amounts that don't tie.
  5. Drafts reminders for missing receipts and approvals.
  6. Builds the pack schedules from your own reports.

Who signs off

Your controller posts every entry. Suggested matches wait until a person accepts them.

What it never does

It never posts a journal on its own. It never moves money. It never reopens a closed period.

What we'd need from you

Read access to the books and bank feeds. Your close checklist. 3 past management packs.

It usually comes with

  • Invoice matching: bills checked against the order before they reach the close.
  • Timesheets to cash: billing finished before the month ends.
  • Marketing reporting: spend tied to the work it brought in.

You become the owner who acts on numbers while they're fresh.

Last month's numbers reach you while this month can still change.

Yours won't look exactly like this. A first conversation is where we work out what it should look like.

One hour. Zero access. Your whole list.

The first conversation is free, runs about 60 minutes and needs nothing from your systems.
